Job Description

Position Title: Finance Assistant
Duty Station: Grand Gedeh (with frequent travels to other projects sites)

Position Status/Duration: Full Time

Reports to: Finance Officer

Position summary

The Finance Assistant is responsible to manage all finance activities within the county in accordance with mL financial procedures, the respective Liberian Legislation and donor regulations as required, and in accordance with the security guidelines of mL. The post holder is also accountable to the Finance officer as well as ensuring support to mL programmes in the county of operation.

Key responsibilities:

  • Manage mL Cashboxes
  • Prepare all cash and check disbursement, liquidation vouchers and cash receipts
  • Must have Quick Books knowledge
  • Daily filing of financial documents and monthly labelling of all Finance files
  • Ensure that the check books are handled safely and by appropriate staff
  • Prepare monthly bank reconciliation
  • Ensure that all cash coming to the office are well managed and accounted for with supporting documents
  • Ensure all cash advances, accommodations and or perdiems given to mL staff for field trips, are fully liquidated within seven days of returned from that trip .in line with mL financial procedures and policies (attendance list, original receipts etc.)
  • Ensure files are ready daily for posting
  • Make all payments as may be necessary by program activities
  • Review payment vouchers to ensure that they concord with procurement policy before case disbursement is made
  • Ensure that the requisite individual responsible for verification and approval affix their signatures on vouchers before cash or cheque disbursement
  • Ensure all payment documents satisfy mathematical accuracy
  • Conduct daily/weekly cash count in safe with your supervisors to authenticate actual cash available reconciles with the bank
  • Support the Finance Officer to carry out the month-end closure of the finances
  • Prepare tenders and collect quotations
  • Ensure all procurement processes are followed in line will mL policy.
  • Support Finance Officer in developing transparent procurement procedures

Administration Tasks

  • Manage and organize office supplies, stationary, and other documents
  • Responsible for copying, and filing of letters and financial documents and monthly labelling of all finance files.

Qualifications and Experience:

  • BBA or AA degree in Finance Accounting or Management with two years working experience.
  • Must know and have sound knowledge of QuickBooks and accounting procedures
  • Experience in banking transactions and correspondence
  • Competent with MS Word, Excel
  • Good planning and organizational skills
  • Must be flexible, have the ability to multi-task and handle pressure
  • Good interpersonal skills, integrity and communication skills
